The Daily Report is seeking an experienced Office Manager/ Administrative Assistant to manage  day to day office functions, provide administrative support to the Publisher and assist with event management. This person will act as a liaison to all third parties required to run the office and execute events.       This is an integral role which deals with both internal and external clients and vendors. The ideal person must have a professional demeanor and the confidence to work with all levels of management.

Responsibilities:

  • Serve as a liaison to all third parties involved with office management (HVAC, Cleaning, Vending etc.)
  • Provide administrative support to the Publisher including: handling all incoming mail, email, calendar and phone calls; booking travel and processing expenses reports.
  • Interface with contributors, finance and human resource departments, production team, and the sales staff. 
  • Responds to requests from selected vendors regarding payment status and solves problems related to some transactions.
  • Handles all mailings, filing and copying.
  • Prepares travel and expense reimbursement/expense reports.  Gathers receipts, obtains third party approval, and sends to accounts payable for processing.
  • Coordinates internal meeting logistics (e.g. reserve conference rooms, AV requirements and food arrangements).
  • Orders office supplies and beverages.  Maintains sufficient inventory levels to meet Management’s needs.
  • Creates PowerPoint presentations for Management Team.
  • Handle detail work for special events business including ensuring that the agendas from speakers meet the necessary requirements with the State Bar and that attendees receive the appropriate credits.
  • Helps ensure the proper number of attendees make it to each event as many of our events have guaranteed minimums. 
  • Responsible for the coordination and set up of each event and ensuring that all requirements are met for the attendees and sponsors.

 Requirements:

  •  Associates Degree or certification equivalent.
  • Administrative experience providing support to senior level executives preferred.
  • Strong working knowledge of Microsoft Word, PowerPoint, Excel and Outlook.
  • Proactive problem solving skills
  • Excellent written/verbal communication and interpersonal skills
  • Must possess a pleasant, optimistic, positive, and professional attitude; customer focus is key.
  • Must be flexible and organized.
  • Ability to work overtime as needed.
  • Self starter.
  • Ability to multitask, detail oriented, and ability to work under pressure are needed.
  • Able to effectively interface with clients and communicate tactfully with persons at all levels within the company
  • Experience handing confidential and sensitive information with the utmost professionalism, tact and discretion
